Effective communication allows you to get your message, thoughts, and ideas across in the right way, so that it gets noticed. To deliver effective communication, there are seven vital concepts. These include:
Correctness refers to providing the correct facts, using the correct level of language, and conveying the correct message to the audience/readers. It refers to avoiding grammatical errors in both written and verbal communication, since incorrect grammar can totally alter the meaning of the sentence and cause a negative impression.
Clarity implies the use of language such that the decoder can easily understand the actual meaning of the sentence. The encoder needs to emphasize a particular message at a given time. If there is clarity in thoughts and ideas, that allows the meaning of the sentence to be easily conveyed.
If the encoder wants to get the type of response that it expects, the encoder must always provide all the necessary details. The sender must consider the mood of the recipient and respond to all queries raised by supporting the answers with facts and figures.
In the corporate world, no one has time for long-winded communication. Therefore, it is better to be concise in communication and save your and others’ time. You can achieve conciseness by avoiding repetition of long-winded thoughts and expressions. Rather, you should use short sentences that get to the point but complete the communication.
This is the most important component of effective communication that involves thinking from the recipient’s perspective. The coder must consider the audience’s view, background, education level, mindset, desires, and problems when crafting a message. You need to modify your message to meet the needs of the reader.
Specificity in the message refers to being definitive and clear instead of being general, confused and vague. The encoder must present correct and specific facts in front of the decoder for effective communication.
Courtesy is the central component of all effective communication. The start and end of a communication should be polite. It refers to valuing the feelings of the receiver since that generates good will. The encoder must use courteous words and show respect to the decoder for effective communication.
